Minutes of the July 18, 2001 meeting

Action items in bold.

 

1.                  Group acknowledged Anne’s last meeting before her retirement.  Craig McWhirter will take Anne’s place on the Committee.

 

2.                  Group reviewed minutes from June 27.

 

3.                  George gave us an update.  The confidentiality agreement is signed between Endeavor and I.I.I.  There have been some conference calls with Endeavor to give them ideas since the Alliance staff has experience with the different inputs and outputs.  George plans to upgrade Central to Release 2001 on July 25 or 26.  George reports the Internet is more stable—JeffCo was having some backed-up transaction issues. 

 

4.                  Reconciliation:  Four reports should be delivered to George ASAP if they have not already been turned in: 200 long overdue list, RTL list, CR list (your items only), Damaged items from 2001 not otherwise taken care of between institutions before now.  These will be used in the reconciliation process.    Ev asked whether in-transit should also be used.  The Orbis documentation is outdated and does not mention in-transit since that was a new feature one or two years ago.  We will have to review this for next year’s process.

 

5.                  Pascal:  Pascal Journals versus Monographs are not identified differently, so others should be cautious with check-out.  Parameters for Central are entered.  Local sites may begin coding their items for media or journal checkout as well as their loan rules and rule selection tables.

 

6.                  Established date for entering new loan rules is August 1.  Some sites may opt to wait until later in August, for example the 6th or just before school starts for academics. 

 

7.                  Best Practices:  New Best Practice recommended by Brice.  He suggests returning Pascal items back to the HOME library rather than to the Pascal site itself.  Note that the book will come from Pascal direct and this recommended Best Practice may change, but for now, this will be useful for testing.  There may be issues with the double barcoding of Pascal items.  Ev will borrow a CU book and test the double barcode.

 

8.                  Round Robin:  Anne reported that in order to incorporate the lab school items into Michener, item records will be suppressed temporarily.  Other:  From the Cat/Ref group, BCODE3 will only be used for Prospector Resources—must be online.  If a print item, it is an error to use these 2 codes.  For example, all Net Library items are a Prospector Resource.

 

9.                  Next meetings:  George and Jim will meet August 1 to look at the reconciliation data and the Committee will meet again on August 9, September 12 and October 24.  [Update:  Jim and George postponed their meeting until August 30.  The August 9 meeting was cancelled.  Next Prospector Committee meeting will be the September 12 date.
