Prospector Document Delivery Committee

April 20, 2000

Present:  Jim Farmer, Kathy Zipp, Brice Austin, Anne Harmon, Carole Hirschfield, Wyne Lundy, Marty Reid, Nancy Sensel, Chris Martinez, George Machovec. Via conference call:  Donna Arment, Jan Tankersley.  Special guest:  Ann Rakes from Innovative.

1.                    Group welcomed Ann Rakes.  George set up conference call to Fort Lewis.

2.                    George reminded everyone to check Datalink for the latest statistics.  Next, George gave an update on the CARL integration.  The target is for a live load in early June—this may take approximately 1 month.  Programmers are working on the patron verification piece simultaneously.

3.                    Group reviewed BEST PRACTICES.  The multiple barcode issue (for accompanying items) was referred to the Cataloging/Reference Committee.  Group briefly discussed the Return Too Long report and how to remove invalid virtual items.  Ann distributed a handout which explains more about this. New best practices added:  1) Owning site will determine whether damaged book may circulate.  If the decision is made to circulate, owning site will note the damage before sending such that the receiving library understands that it is okay to lend.  2) Returned too long search items will be sent to the home site first.  If item is not located, the listserv may be used to request searches at other sites.  3) Use hyphen-plus when items appear as available in  Prospector but remain on the Returned Too Long report.  This will clear the RTL.

4.                    Round robin issues.  Group would like to see Prospector items appear on the Statements of Checked-out Items.  Some prefer this to be an optional enhancement.  George reminded group that if they add pick-up locations, to be sure to inform him so that Prospector worksheet L-5 can be updated online and on the Central system.  Group briefly discussed alternate media loans.  Group discussed an anomaly that occurred between UNC/CSU/Auraria. Wyne reviewed a possible broken record problem involving a paging slip.  Ann reminds everyone that if you are struggling with a problem, please send it, via the helpdesk, to the Union Databases group.  They have diagnostic tools to help solve quickly.  Marty inquired about NetLibrary access for non-Alliance sites.

5.                    Ann gave a quick presentation on several issues.  INN-Reach will soon appear in Washington state as Cascade, in Michigan and in Maine.  Ann reviewed helpdesk procedures.  Be sure to put INN-REACH in the subject line.  Copy George when policy issues may be affected or if your Prospector profiling changes.  Ann gave a preview of Release 2001.  There are four major enhancements:  1) recalls, 2) different loan rule for visiting patrons, 3) Max Owed will be blockable on Central, 4) Regional preferences—break sites into regions for delivery purposes.  Ann next distributed the Clear Hold Shelf procedure available in Release 2000 Update C.  Update B fixes the printing cancellation and paging slip simultaneously problem.  Ann noted that renewals may take 60-90 seconds each since the home site must be queried.  She is unsure whether this will improve with future enhancements.  Messaging may be the only way to alert patrons to this slowdown.

6.                    George noted that the RAID array replacement will take place May 4 and Prospector will be down for a couple of hours.  May 11 is the target date for Central’s migration to Release 2000 (downtime approx. 4 hours max.).

7.                    The May 3 meeting is cancelled.  Next meeting is June 7 at 10:00 a.m.

8.                    Meeting adjourned.
