PROSPECTOR CATALOGING/REFERENCE COMMITTEE MEETING/OCTOBER 14, 2004

MINUTES: No additions or changes to August 19, 2004 minutes.
ANNOUNCEMENTS (GEORGE M.):
· Statistics: With the recent addition of the Center for Research Libraries' bibliographic records (3/4 million), the Prospector database now consists of 5.875 million MARC records and over 18 million items.
· OPAC Redesign: The Task Force is continuing to work on this and will meet one more time for final suggestions and to get it up and running.
· Mil Silver: George needs a day of downtime to upgrade to Millennium Silver. A time between Dec. 15-30 worked best for the group, and George will schedule a day with III and let everyone know. The AVS keyword searching problem that isn't working now will get fixed with Silver.
· Prospector Directors Meeting: The directors meet annually to get an update and an overview of the system. This year's meeting is scheduled for November 19.
REPORTING PROSPECTOR PROBLEMS: Report machine problems to the Alliance office, Monday-Friday, 8:00 am-5:00 pm. For off hours, call their pager number (303-461-5099), Monday-Friday, 5:00pm-11:00 pm; Saturday, 9:00 am-6:00 pm; Sunday, noon-8:00 pm. If no one calls back within 30 minutes, call the number again. For record problems, contact the Chair of this Committee (Cynthia for now) who will work with George to resolve the issue; or contact the library involved directly if comfortable. Individual library liaisons are listed on the Prospector web site, and the master record owner is shown in staff telnet mode. George will demo Prospector staff mode at our next meeting. ENHANCEMENT REQUEST: An Inn-Reach staff web version.
CRL RECORD WORDING, ETC.: CRL records loaded a couple weeks ago & George is finishing the chaser load now. The "turn down" language approved by the Committee reads: "This item is not available to your library through Prospector. Please contact your library for interlibrary loan or other borrowing options." This applies to all items in the system, not just CRL items. George will pass along to the Document Delivery Committee and e-mail results to us. This Committee will revise loan rule tables, adjusting the number of items/time limits for borrowing CRL materials based on individual libraries' membership status and preferences. CRL records are at the bottom of the loan precedence table. ENHANCEMENT REQUEST: Ability to re-order the list of holding libraries other than alphabetically to force CRL records to the bottom of the list. Other issues include: fixing the reference to "a Colorado union catalog", and other language no longer reflecting current status. George recommended that this Committee review all Prospector language after Silver is loaded and web redesign is completed.
BEST PRACTICES REWRITE: Florence presented her re-worded Best Practices document to the Committee. Dawn Bastian (CSU) agreed to find for the Committee the CONSER reference that states a preference for separate print and electronic records. Further discussion was held over to the November meeting.
ENHANCEMENT REQUESTS: Inn-Reach enhancement suggestions are due for the next IUG meeting in May 2005. So far we have: (1) the ability to display and limit by multiple formats assigned to a single bibliographic record; (2) the ability to create a "my millennium" style staff web version for Prospector; (3) ability to force library locations out of alphabetical order; (4) ability to develop a new BCode3 to suppress local/display global for order records; (5) the ability to determine "Mat Type" for limiting purposes from somewhere other than BCode 2 to accommodate non-III systems. Previous suggestions also will be reviewed to determine whether to include any in this enhancement cycle.
NETLIBRARY: Jim Williams agreed to chair a meeting in November of the NetLibrary purchasing group to review the NetLibrary contract. Each site will be asked to appoint a representative to attend the meeting. Send your data regarding problems with NetLibrary records and irregular distribution, and questions or complaints regarding lack of customer support to George and he will take to this meeting.
