PROSPECTOR CATALOGING REFERENCE COMMITTEE

APRIL 20, 2000

 

The Prospector Catalog-Reference Committee met at the Alliance on Thursday, April 20th.

 

Attendance:  Joan Beam, Helen Reed, George Machovec, Judith Heck, Bill Garrison, Vicki Nichols, Lois Jones, Sandy Arnesen.  Carol White joined us via conference phone. Guest: Ann Rakes from Innovative Interfaces.

 

Prospector Statistics

 

George Machovec distributed the April Prospector statistics. They will also be in Datalink.

 

Denver Public Library Load

 

III has re-populated the test database.  An additional 10,000 records from CUB will be loaded to test the matching algorithm and record overlay. The Cataloging/Reference Committee will review the test database. Specific records will be reviewed.  In addition, Committee members are encouraged to wander through the test database and look for possible problems or errors, and report them to George Machovec. The main load of Denver Public Library records will begin in early June. The Alliance has hired a new programmer who is working on the patron authentication specifications, followed by the issue of document requests.  Endeavor libraries will be handling at a later date.

 

Training for DPL Staff

 

Members of the Catalog/Reference  Committee(Garrison, Heck, Beam and Machovec) will meet with a few members of the DPL staff to introduce them to, and train them on Innopac and the Cataloging mode. 

 

NOTE:  This is scheduled for May 23rd at the Alliance at 1:30 PM.

 

Upgrade of Prospector to Release 2000

 

Prospector will be upgraded to Release 2000 on Thursday, May 11th.  Prospector will be down for about 4 hours.  George Machovec will do the upgrade locally in the morning.  Lois Jones(DU) and Bill Garrison(CUB) will test their record matches, and Vicki Nichols(Jefferson County Public Library) will test how it works on a site running on Release 12.

 

Ann Rakes. III

 

The INN-Reach unit at III is a combination of the implementation and the help desk functions. Be sure to include "INN-Reach" in any help desk query to get it to the right people. The Unit is presently supporting 7 systems and 3 more are coming soon (Washington, Maine, and Michigan).

 

Enhancements for Release 2001  III is looking at a brief list of enhancements for consideration in 2001:

·         update call numbers in the bibliographic and item records whenever there is a change in the local system

·         work to make put-through faster.

·         Both the Call # and Identify fields are in checkin records in Release 2000 already

·         tables showing holdings--trying to make more uniform.

·         storing URLs and display in the institution record. This may actually be in Release 2000 Revision B.

·         Featured Lists offers the pass through option.

·         Webpac will have enhanced staff possibilities.

 

The Circulation List will include many more enhancements including  Recalls and regional preferences for fulfilling requests within a smaller geographical area.

 

Encoding levels in INN-Reach  Ann Rakes distributed a request from Sandy Westall at III dealing with the new encoding levels of “3”  and “4” and how they should be handled in the Prospector INN-Reach tables.  The group discussed recommended that they be added to the Prospector table as follows:

Duplicates on Prospector   The reason for some unexplained duplicates is the order in which the system loads the item record and the bibliographic record into the INN-Reach software. If the item record came first, a mini-bib was created automatically for it by INN-Reach. If the bibliographic record had an OCLC number it was okay it was properly overlaid. When the system has to make the match on the ISSN/ISBN and title key, it fails.  There is a fix available for this problem.  Ann will be running the cleanup very soon to get all these records matched in Prospector.  She has found about 15,000 so far. The Catalog/Reference listserv will provide status reports as they are done.

 

Advanced Searching AVS, is in beta testing at OhioLink for the INN-Reach systems. New INN-Reach sites get Advanced searching automatically. Ann will check and see if Prospector gets it automatically or not.

 

Authority Control  The mix in local systems makes this a difficult proposition.  Could load authority records now, but who does the maintenance?

 

BCODE3 “g”  BCODE3 “g” is used by OhioLink for "electronic resource" and that is the  label we will have to keep on Prospector.  The netLibrary records will could appear this way.  CUB has the netLibrary records, ready to upload to Prospector. The BCODE3 “g” will mask all item records (weren't given any at CUB) for the netLibrary records, i.e. those from Colorado College. George will run lists of any BCODE3 “g” instances which local libraries need to clean up and distribute them via the cataloging liaison listserv.

 

Enhancements

 

The Committee ranked the list of INN-Reach Catalog enhancements which was compiled and distributed via the INN-Reach listserv by Nancy Nathanson at Orbis (the Circulation Committee reviewed Circulation enhancements earlier).  Helen Reed, as Chair of the Catalog/Reference Committee will bring our rankings to the meeting at IUG on  Monday May 1st.
