Prospector Cataloging
Reference Committee
February 24, 2000

The loading of CARL
records is currently hampered by the discovery of null characters in the
data. III and the Alliance are working
to resolve this problem. Some test records have been selected based on a list
sent from Bill Garrison which CU/Boulder used for their testing. The test Database will be created in
California. George Machovec will email
the Committee when the database is ready for review and testing. We will have
WebPac access and staff telnet access for creating lists in the test
database. DPL records will be loaded in
three stages: regular records, Marcive records, and Western photodigitization
project materials.
On Feb. 29th
netLibrary will hold tours and focus group discussions at their facility in
Boulder. All Alliance personnel are invited.
Colorado College
has loaded bibliographic and item records for 2,500 netLibrary titles. These
records appear in Prospector with associated item records.
CU Boulder will
serve as the central resource for cataloging netLibrary titles for the Alliance
to feed into Prospector. As such they
will load marc records, coded with BCODE3 "g", for the entire
netLibrary set and theirs will be the Master Record for these titles. The
Committee proposed that BCODE3 'g' be
reworded to say "Alliance Resource" as not all Prospector libraries have access to all netLibrary
titles. Since BCODE3 is at bib level
and the netLibrary titles will have items for both Alliance and non-Alliance
sites, we need to test how the wording and items records will display. Lois
Jones, DU, will test the BCODE3 wording by creating 1 record where DU's record
is the master bibliographic record and one where DU's record is not the master
record. At a later time another BCODE3
for “Prospector Resource” would probably be requested for system-wide
resources.
Wording for the
856 subfield z also needs to be devised. Colorado College subfield z uses the
wording "View Electronic Book."
Since CUB's record will be the master record and thus, over ride all
others, we need to collaborate on appropriate wording. Bill Garrison is drafting wording for the
856 subfield z in the netLibrary records.
netLibrary is
buying an Innovative system for their use. This could provide opportunities for
netLibrary to distribute their records directly to libraries as well as to
provide a record updating service.
Public Service
Training
The Training
Subcommittee comprised of Joan Beam, Judith Heck, Bill Garrison, and George
Machovec met to discuss timelines, content, structure, and other aspects of
providing training to the CARL libraries.
Judith is checking with appropriate personnel at DPL on the best times
to provide training. One goal will be to keep the number of sessions to a
minimum with a maximum of staff attending each one. Initially we will probably offer 2 sessions, with a third offered
in the fall. Each session will run
about 1-1/2 hours.

The Subcommittee
will devise a "cheat sheet" to handout on the major differences
between CARL and Prospector/Innovative.
Similar training
will be conducted for Regis University. George Machovec will contact Regis to
begin a dialog about their training needs.
Cataloging
Training
It was also
decided that catalogers at CARL libraries might benefit from a training and q
& a session on record loading, profiling, record matching, etc. between III
and CARL. This training would need to coincide with the actual loading of the
records and be separate from the training for public services staff. The proposed timeline for record loading,
and thus, this training is April-May, after the initial testing phase is over
and real bulk of loading begins. Judith will talk with appropriate personnel at
DPL to test this concept and to discuss potential training dates.
The IUG and the
Inn-Reach enhancement processes are on different schedules. The IUG process incorporates some InnReach
enhancements voted on by all the III libraries instead of restricted to
Inn-Reach sites. George Machovec put out a call for enhancements to the
Prospector libraries and had some suggestions. The Committee did a preliminary
review of enhancements submitted. The Committee will finalize the list at its
March 23 meeting and submit the list to the Inn-Reach ListServ for
consideration at the national level.
All recommendations and their final resolution will be listed on the
Prospector website at the end of March.
The IUG list
of Inn-Reach enhancements with the top
ListServ FIVE was handed out by Helen Reed. We will take a further look at them
at the next meeting in March.

moving towards separate records, as separate
formats really
are very different in content, etc. The
Committee will determine a methodology for exploring this issue.

g. Improve the matching algorithm for record
overlay—this has been reported to III.
This is being considered as part of the INN-Reach enhancement list since
the matching algorithm needs improvement.
It was discussed that the title normalization might be the cause of some
of the overlay problems in the ISBN/Title overlay process.

will be held Thursday, March 23rd, 1:00 PM at the Alliance. The agenda will include finalizing our
Enhancement Requests, an update on training for the CARL Libraries, netLibrary,
etc.
