In recognition of new members, each member introduced themselves.
Minutes of the January 16, 2003 meeting were approved.
George provided an update and a copy of the schedule for completion of the consortial borrowing interface between Endeavor and Innovative. The schedule is due to be signed off on by Feb. 28, 2003. The schedule is subject to delay by any of the three parties if any of the stated contingencies or caveats occur.
In response to a question, George also described how updates in the III software will impact the interface between III and Endeavor. In addition, he described the difference in functionality between Endeavor and CARL (interactive vs. batch updates of transactions).
Fort Collins Public Library
FCPL’s record load finished about a month ago and went very well. Approximately 32% of their collection is unique in Prospector. Circulation testing is going on now. March 10, 2003 is the target date for FCPL to go live in Prospector. FCPL thanked JCPL for assistance at a site visit. George will add FCPL to the member library information on the website.
Mesa State has requested a site visit for April. The purpose of the visit will be to go over the record loading and database preparation requirements, as well as the document delivery procedures. The target date for adding Mesa State to Prospector is July.
The first bill from NetLibrary has been sent through along with a list of new publishers available. Send objections or comments on the new publishers to George by Tuesday, February 25, 2003. The next batch of MARC records is expected soon thereafter.
The procedure for loading NL records was reviewed. CSU loads the records for NetLibrary first, then the other libraries can load. Bcode 3 = “-“, and if your institution has item records attached, they should be coded so they do not contribute to Prospector.
The question was raised as to what constitutes a purchase of a NetLibrary title in the current model. Purchase is based either on a view or an actual checkout according to George.
Gold Rush is now available to libraries who are not members of the Alliance. Three levels of access are available. The first level provides access only to the Reports Section. The second level, Gold Rush Basic, provides access to reports, subscription management and a public interface. The third level, Gold Rush Complete, provides all access in Basic, plus a link resolver.
Version 2.0 of Gold Rush has been released. BCR is now marketing Gold Rush for the Alliance. A Gold Rush User’s Group is under consideration.
Reconciliation for lost books from FY2001 is complete. Billing will be coming out in the next 2 to 3 weeks. Payment for lost materials will occur a couple of months later.
The enhancements and new products document was distributed. Select features were reviewed. Screen design was discussed and George explained that the changes were made by III to reduce screen real estate for holdings which is an issue for some of the larger systems. Committee agreed to blank out the request status phrase that appears. Currently it reads “Local Use Only”. It was decided a blank field was less misleading than any phrase we could think of for serials. It was also agreed that the column heading would be changed from “Call number and serial holdings” to “Call number and holdings”. The background color was discussed and tabled for later resolution.
Lois reported a problem with 856 links in item records. The problem has been reported to III and will be fixed in the next release.
Two task forces were formed to address screen display and indexing issues related to the planned installation of Advanced Keyword Searching in Prospector. The first task force will include Joan, Kim, and George from the committee, Jeff and Lisa from outside the committee. They will create a mock-up screen display. The second task force will include Lois, Florence, Sandy, Cynthia and George. They will obtain a default set of index changes from III, and recommend any other changes needed to create the profile best suited for Prospector.
Reviewed enhancement suggestions that have been received to date, including one from a patron. The requests were divided between true enhancements and other suggestions, which will be handled by the committee. Reviewed the enhancement process. Lois and George will compile the requests received and the committee will approve the enhancements to carry forward to the IUG at the April meeting. Lois will request a status report from III on the enhancement requests that were submitted last year.
One of the enhancements that was submitted last year was the pass-through search enhancement. Sandy will test the Bcode 3 = “L” to see if that provides a work-around.
Committee discussed the best practices vs. reality of GPO/Marcive records. All agreed that preferred practice is not necessarily represented in the Marcive records, but also agreed that there was no practical way to address the issue at this time.
Cynthia updated the group on the matching algorithm problem that she reported to III in which it appears that multiple 02x fields are being used rather than the first. Tim Auger is pursuing in programming. Cynthia also briefly updated the group on a research project that JCPL is participating in with III to test a new matching algorithm. She will update the group with more details at the next meeting.
