1. Introduction of new members. Florence Jones from Auraria Library and Amirta McKinney from Fort Lewis College have been appointed to the committee. The other members are all continuations from last year.
2. Minutes. The minutes of November 2000 were distributed and approved (with name corrections). Minutes should be created in Word and sent as an email attachment to Helen Reed and George Machovec. They will add, edit and get the minutes mounted on the website.
3. Prospector Statistics Prospector statistics were published in Datalink Issue 100, December 2000. They are also available on the web. George will send out the specific URL.
4. Record Overlay Algorithm. Georgia Briscoe at CU Law notified us of continued problems she finds with record matching and overlay in Prospector. Although the overlay algorithm problem was supposed to have been fixed with a software fix some months ago, Georgia is still identifying records which did not overlay although it would appear that they should have. Georgia will be invited to our next Committee meeting to show some of the problems and we can discuss it more fully. If any other sites have examples of overlay problems they should bring them to the next meeting as well. In early January III ran the program to clean up non-matches due to a problem with the ISBN matching algorithm, a problem that was identified in early 2000.
5. INN-Reach Listserv Helen Reed distributed the information and reminded us all to sign up for the INN-Reach listserv to keep abreast of the INN-Reach enhancements process.
6. DPL and Regis Update DPL and Regis are now fully activated on Prospector. DPL is a net lender so far. Regis was just activated Jan. 17th. A news release about the multi-vendor aspect of this INN-Reach site will go out soon from III.
7. Endeavor interface. George met with Sandy Westall and Jerry Kline at ALA and they have agreed to start the process with Endeavor by sending out initial letters of confidentiality and then specifications to Jane Burke at Endeavor. Hopefully testing will be possible by late summer.
8. NetLibrary. There are 20,000 records for netLibrary titles in Prospector loaded from CU-Boulder, coded with the Bcode 3 “g” “Prospector Resource.” Eleven Alliance libraries have the patron-driven model of acquisition for these electronic books whereby the second time an Alliance member patron checks out an ebook, it is purchased. Due to funding changes, the Alliance will evaluate whether to continue this model or to move to another acquisitions model.
In Prospector, non-Alliance libraries can access only the netLibrary books that they own. The coding “Prospector resource” causes all local holdings to be suppressed, thus, at the Prospector level, patrons from non-Alliance libraries cannot tell which titles are owned by their library, these titles must be identified in their local catalogs.
George Machovec and Alan Charnes met with Brad Norris from netLibrary about getting MARC records directly from netLibrary for Alliance members. Negotiations are still underway. Ideally, the Alliance will be able to load the MARC records directly from netLibrary for loading into Prospector and then to local PACs via for no charge for Alliance members.
There are two main models for loading records from netLibrary into Prospector. If netLibrary becomes an INN-Reach site and feeds records directly to Prospector, member libraries could use Prospector to create lists and download to their local catalogs. If netLibrary does not become an INN-Reach site, bibliographic records would have to be ftp’d to CU-Boulder and then uploaded to Prospector from there. Other member Innovative libraries might need to access the records at CU-Boulder. CU-Boulder is ready and willing to test this. Bill Garrison, Helen Reed and George Machovec will set up a conference call with netLibrary on this matter.
There are additional issues to keep in mind regarding netLibrary bibliographic records:
a. What prefixes have Prospector libraries put into their 001 fields? NetLibrary uses a unique prefix in the 001 field and it will cause confusion if there is a conflict between netLibrary and a local site..
b. How will netLibrary handle changes, updates, deletes? A central review file will have to be refreshed on a regular basis. Member libraries will need to add new netLibrary records to their local databases with Create Lists and a date parameters.
c. NetLibrary mentioned some problem with Bcode 3 which needs to be investigated and resolved.
d. The INN-Reach model of transferring records could take some time since netLibrary is not currently an INN-Reach site. Using FTP model initially will expedite the process.
e. Authority control will have to be performed at the local level.
f. Bill Garrison has other cataloging issues regarding multivolume sets on netLibrary. At present each volume is given a unique record, rather than being attached to a main entry.
g. The netLibrary records will have an “eb” attached to the end of the LC call number to distinguish it from the print version.
h. We would be able to export a Create Lists from Prospector but not FTP a file. George Machovec could set up a place at the Alliance site to FTP records as well, but not within Prospector database.
9. Material Type Icons in WebPAC We can put the ebook netLibrary Icon into our own Library catalogs if we turn on the WWWOption I-Image to do so. The III WebPAC icons are based upon the Bcode 2 material type. However, since not all Prospector Libraries use the same material types in their Bcode 2 fields, we cannot turn on icons in Prospector unless the INN-Reach software can map the Bcode 2 value. George Machovec will ask Sandy Westall at III if there is Inn-REACH mapping for Bcode 2 to match the material types in all the member libraries. He will also ask if the netLibrary icon is a separate functionality from the other material type icons (i.e. can it be turned on by itself without affecting monographs, cassettes, videos, etc.).
10. Display of URLs in Prospector Health Sciences Center has put their journal URLS in the item records but they do not display yet on Prospector. This is to be a future enhancement. For validation, and running the Innovative URL Checker Software, Innovative libraries have to call III to get them to include the 856 in the item level of a record (per Sandy Arnesen.). Even having made the request for a change in set-up, not all libraries reported that the URL check was working at the item level. Members will recheck this and report back.
11. Schedule for running III URL Checking Software George Machovec asked that the Innovative Libraries change the automatic time default for running their URL verification software. The III system automatically runs the program Monday at 2:00 AM. Since most libraries are using the default, this is causing some difficulties with simultaneous users in FirstSearch.
12. AVS(Advanced Searching) in Prospector George Machovec talked to Sandy Westall at ALA and the Alliance will have to pay extra for Advanced Searching since it was not in the original contract. He will get a price quote soon. The Word Index would need to be re-indexed according to the new AVS profiles. It really would be best if all local sites were on AVS first so any word searches transferred up to Prospector would operate in the same manner. Currently, an AVS search turns into a regular keyword “anded” search on Prospector. Joan Beam and Nora Copeland from CSU will be doing AVS training at Auraria soon. CU-Boulder is sending staff. Sandy Arnesen would like to attend too.
13. Inn-REACH Enhancement Process Helen Reed distributed four handouts relating to INN-Reach enhancements already in the pipeline. Helen will ask which ones from 2000 are already being worked on so we don’t repeat them. George Machovec will put out a call on the Prospector listservs for the III Prospector libraries to submit enhancements. The INN-Reach enhancements need to come from the central site. Committee members will solicit enhancements from their library staff too. The Prospector Catalog/Reference Committee will be discussing these enhancements at the next two meetings. They are due in by March 30th from the central site.
14. New Officers Helen Reed was nominated, and agreed to stay on, as Chair for one more year. Sandy Arnesen will be Recorder for six months, then Lois Jones volunteered for the next six months. Our special thanks to Joan Beam for going “above and beyond” by taking notes for the Committee for the last year and a half.
15. Meeting schedule Next Meeting will be on TUESDAY February 20th from 1 to 3:30 PM. Future meetings will still be on the third Thursday of each month, all at the Alliance in Denver.
